Job Description:

We have an urgent opening for the position of Executive Assistant for a reputed  Company for the Kharghar ( Navi Mumbai ) Location 

Job Summary :

The Executive Assistant provides professional-level administrative, operational, and policy services and provides direct administrative assistance to the Director, which may involve highly sensitive and/or confidential matters using independent judgment, tact and discretion for successful performance of the work, as responsibilities may include resolution of internal management, policy, and operational problems.

Roles & Responsibilities 

  • Follow-ups with the internal employees & external clients
  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage Director's calendars and set up meetings
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly monthly or quarterly reports
  • Oversee the performance of other clerical staff
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Relieves the Director of day-to-day administrative detail; coordinates the flow of information to the Director's office as required for policy and operational decisions.
  • Investigates and responds to concerns and complaints from clients, community advocacy groups, members of the Board of Supervisors, and the public.
  • Coordinates the production of various documents and other written materials for the Supervisors and internal and external distribution.
  • Analyses proposed policies/reports/SOPs and reviews - evaluates the impact upon organization's operations and drafts policy and procedural changes as required.
  • Prepares a variety of correspondence, periodic and special reports, informational publications, policies, procedures, and other written materials;
  • Maintains accurate records and files related to work performed.
  • Any other work as assigned by Director.

Key Competencies:

  • Excellent MS Office knowledge, Google sheets
  • Outstanding organizational and time management skills
  • Multi-tasking and time-management skills, with the ability to prioritize tasks.
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
