Job Description:

 

We have an urgent opening for the position of Executive Assistant-Manufacturing Industry for a reputed Company for Andheri East location.

 

Job Responsibilities:

  • Closely working with all the inter-departments
  • Gather data from all the units (Production, Sales, Logistics etc.) & keep updated on all matters.
  • Meeting & follow-up with sales managers/officers/Executives and keep updates on their market coverage.
  • Filtering emails, highlighting urgent correspondence
  • Acting as a first point of contact: dealing with correspondence and phone calls, responding to director calls, emails, or any business inquiries
  • Get Management Reports prepared for their details understanding and analysis.
  • Arranging meetings indoor and outdoor with various clients.
  • Arranging & setting up meetings/video conferences.
  • Ensuring the Director is fully briefed on, or prepared for, any engagements he is involved in.
  • Taking minutes of the meeting and sharing recording to attendees whenever required.
  • Keeping and maintaining an accurate record of papers and electronic correspondence on behalf of the Director.
  • Travelling with the Director to corporate office /factory unit to provide general assistance.
  • Scheduling & reminders for important occasions.
  • Travel arrangements/Plan (International/Domestic) Flight booking, Hotel booking, Visa processing, Forex arrangement, Travel card arrangements, car arrangements etc. and ensuring arrangements in place for the Director match his requirements.
  • Maintain agenda and assist in planning of appointments and meetings.
  • Managing and maintaining the Directors diary and email account.
  • Conducting meeting with the Director to discuss upcoming engagements, invitations, and other requests.
  • Prepare relevant Presentations / Executive Summaries for various events/meetings.
  • Co-coordinating for events/conferences/lunch/dinner.
  • Providing a service that is in line with the Director’s work habits and preferences.
  • Ensure that all confidential & sensitive information is securely handled, stored as appropriate & no such information.
  • Co-Ordinating with the Creative Team & Assist team for social media activities.
  • Any other task if requires, as directed by Director.
